Field service operators need a way to run remote visual inspections without hiring someone on-site for every job. This AI automation lets you deliver a fully documented, AI-analyzed session report to clients using nothing but a phone camera and a cloud storage folder.

    What This Automation Does

    • Starts a live camera sharing session and sends the customer an SMS link to join and the agent an email link to observe the feed in real time
    • Automatically captures photos and videos from the session and uploads them to a dedicated Google Drive folder as they arrive
    • Runs each captured image through OpenAI to generate a structured AI analysis describing what was observed
    • Compiles a complete session summary combining all media and AI findings into a single Google Drive document when the session ends

    How To Build It

    Authenticate the fluidX camera service

Connect your fluidX developer account using an HTTP header credential so the workflow can create sessions, issue invite links, and pull back media on your behalf.

Generate session invites for both parties

Configure the session creation step to produce two distinct access links simultaneously: an SMS delivered to the customer's phone so they can share their camera, and an email delivered to the agent so they can observe the live feed.

Pipe incoming media into Google Drive

Set up a listener that fires each time a photo or video is uploaded during the session, then routes each file into a named Google Drive folder so nothing is lost even if the session drops unexpectedly.

    Analyse each image with OpenAI

Pass every captured image to OpenAI with a structured prompt that extracts observable details, flags anomalies, and returns a consistent JSON description that can be appended to the session record.

Write the final session summary to Drive

After the session closes, aggregate all AI analysis outputs and file metadata into a formatted summary document that is created or updated inside Google Drive, giving the client a single deliverable they can share or archive.

    Pitfalls

    • fluidX webhook events can arrive out of order under poor mobile signal conditions, so build in a sort-by-timestamp step before compiling the final summary or the AI analysis will reference images in the wrong sequence.
    • OpenAI vision rate limits become a bottleneck when a single session produces more than 20 images in quick succession; add a short delay between image analysis calls or batch them to avoid hitting per-minute token caps.
    • Google Drive OAuth tokens expire silently after extended inactivity; if a client books a session weeks after you first configured the workflow the upload step will fail, so schedule a periodic credential refresh or use a service account instead of personal OAuth.

    FAQ

Can I build this without coding?

Yes. The entire workflow is built through a visual interface using pre-built integration blocks. The only configuration that requires reading documentation is setting up the fluidX API credential, which involves pasting a single API key.

    How long does it take?

Most freelancers can have a working version running within two to three hours. Connecting fluidX and testing the invite flow takes the most time; the OpenAI and Google Drive steps are straightforward once you have sample media to test with.

    What can I charge?

Pricing depends on whether you sell it as a per-session deliverable or as a monthly managed service. Insurance adjusters, property managers, and technical support teams are the most common client types, and they typically value the documented audit trail more than the technology itself, so anchor your pitch on the output quality rather than the tooling.

Which tool is required vs optional?

The fluidX account is required since it provides the live camera infrastructure. OpenAI is required for the AI analysis layer. Google Drive is the default storage destination but could be swapped for any cloud storage service that supports file upload via API if your client already uses a different system.
